Application Approval Process

The event organisers may be asked for any or all of the following requirements prior to event being assessed for approval.

  • Event Application Form
  • Works Approval Form with map showing placement of structures being erected on the site
  • Site Map
  • Music Licence: Any event on national land that incorporates the playing of commercial music must obtain a licence from the Australasian Performing Right Association and the Phonographic Company of Australia.
  • Risk Management Plan for the specific event
  • Evidence of licence obtained from Australiasian Performing Right Association and Phonographic Performance Company of Australia for ANY event that plays music.
  • Traffic Management Plan for any events using roads with or without closures. Also relevant for lake based events. Traffic plans for road closures required from Event Organisers are produced in association with Roads ACT.
  • Insurance – copy of certificate of currency for public liability
  • Evidence of Stakeholder Consultation with neighbours, relevant authorities, AFP, etc
  • Operations Plan
  • Waste Management Plan
  • Evidence of relevant ACT Government approvals; Liquor Licensing, EPA Approval etc
  • Evidence of approvals from AFP, Emergency Services etc

This list is an indication of requirements generally required for events. Additional requirements may be requested by the NCA that are specific to your proposed event.

Application Process

  1. Application - Event application form received by NCA.
  2. Proposed Event entered into Venue Booking Database. Availability checked in conjunction with other events and locations
    1. If required: NCA will contact event organiser to request additional information to support the event application (see Summary of Requirements).
    2. NCA consultation with relevant authorities/neighbours/government departments about the application: Roads Act, AFP, Emergency services etc.
    3. Assess: Full application assessed for approval.
    4. Approve/Decline: Event declined or approved given to organiser in the form of Permit, Works Approval and/or Licence Agreement. At this time Licence Fees or Bond may be collected.
    5. Advertising of any relevant road/lake closures (arranged by the NCA).
    6. Irrigation mark out/landscape contractor site inspection (Event Organiser's responsibility and cost)
    7. NCA pre-event inspection of site and adjacent areas.
    8. Issue of keys for gates and power if required.
    9. Event
    10. NCA post event inspection of sire and adjacent areas. Event organiser is responsible for any damage to the site or adjacent areas as a result of the event being held.
